Ledger

Every open item from every call, in one list.

The ledger is a note in Dana's notes app, rebuilt from scratch on every run from the routing records. It is grouped by client, tagged with owner, due date and whether the item blocks other work, and annotated with what the mailbox showed. Tick things off in the note; they stay ticked when it is rebuilt.

Why ticks survive

Each item carries a hidden id: the first eight characters of a hash of the transcript file name plus the item text. Before the note is rewritten, the ticked ids are harvested from the old note and applied to the new one. Moving a call to another folder changes nothing. Renaming a transcript, or rewording an item, gives it a new id, which is why wording is fixed before ticking, not after.

What the mailbox adds

A green note means email shows the item is likely done; an amber note means related email exists but does not close it. Neither ticks the box. “No reply for N days” and “They replied” lines come from the most recent messages each way.

Machine-owned, hand-curated apart

This note and the per-client call logs are rebuilt every run and are disposable. The client notes next to them are hand-written and never touched: the ledger only reads them, to link each client and to flag any client that has calls but no note yet.
